Why the client portal matters for LOLER compliance

Under Regulation 11 of LOLER 1998, examination reports must be kept available, by the employer or dutyholder, until the next report is produced, or for at least two years if the equipment is no longer in service. In practice, this means your clients are legally responsible for being able to produce examination certificates when asked. If an HSE inspector visits a client site and requests the certificate for a crane or MEWP, the client needs to be able to provide it promptly.

The problem with emailing PDF certificates is that the certificate leaves your control the moment you press send. Clients save PDFs in different places, or fail to save them at all. Can each client only see their own records?+
Yes. Client portals are fully isolated. Each client logs in and sees only their own assets, reports, and certificates. They cannot see any other client's data.
Can I control what clients can see in their portal?+
Yes. You can choose which assets and reports are visible to each client. If you manage assets that a client should not see (e.g. equipment belonging to a different division), you can control visibility at the asset level.
